SnapCert Privacy Notice

How SnapCert collects, uses, shares, protects, and retains personal information.

Overview

This privacy notice explains how SnapCert handles personal information when you use the website, web app, mobile apps, waitlist, support channels, and related services.

For account, support, product analytics, waitlist, and billing-related information, SnapCert acts as a controller. For customer, site, certificate, photo, and signature information that electricians enter for their own customers, SnapCert normally acts as a processor on the electrician or contractor's instructions.

What we collect

  • Account details such as name, email address, authentication status, business/profile details, and settings.
  • Professional details you choose to add, such as trading name, engineer name, role, phone number, address, logo, signature, and scheme/accreditation references.
  • Certificate and job records, including clients, sites, addresses, distribution boards, circuits, observations, test results, notes, photos, signatures, PDFs, invoices, and related metadata.
  • Support, feedback, waitlist, and communication content you send to us.
  • Device, app, diagnostic, crash, security, sync, and usage information needed to operate, protect, and improve the product.
  • Payment and subscription status from app stores or payment processors. We do not store full card numbers.
  • Location information only when you enable a feature that needs it, such as adding context to site evidence.

Why we use it

We use personal information to provide SnapCert, keep records available across devices where sync is enabled, generate certificates and exports, support users, secure accounts, process payments, improve reliability, communicate service updates, and comply with legal obligations.

Depending on the context, our lawful bases may include contract, legitimate interests, legal obligation, and consent. Where consent is used, you can withdraw it without affecting earlier processing.

Customer and certificate data

Electricians and contractors decide what customer, site, and certificate data they enter into SnapCert. They are responsible for having an appropriate lawful basis and for giving their customers any privacy information they are required to provide.

We do not sell customer or certificate data. We process it to provide the product, maintain security and backups, support the user, and comply with lawful requirements.

Sharing

We share information only where needed to run SnapCert, support users, process payments, comply with law, protect rights and security, or complete a business change such as a merger or asset transfer.

  • Hosting, storage, authentication, analytics, crash reporting, support, email, and payment providers.
  • Apple, Google, Stripe, or similar providers where they handle app distribution, payments, authentication, or subscriptions.
  • Authorities, regulators, courts, or professional advisers where legally required or necessary to protect rights and safety.
  • People or services you choose to send certificates, exports, or support information to.

International transfers

Some providers may process information outside the UK. Where that happens, we use appropriate safeguards such as adequacy decisions, contractual protections, or other lawful transfer mechanisms.

Security

We use technical and organisational measures designed to protect personal information, including access controls, encryption in transit where appropriate, least-privilege operational access, logging, backups, and security review. No system is perfectly secure, so users should also protect their devices, accounts, and exports.

How long we keep information

We keep information only for as long as needed for the purposes described in this notice, including providing the product, supporting users, meeting legal and tax obligations, resolving disputes, maintaining security, and preserving backups for a limited period.

  • Account and product records are usually kept while the account is active.
  • Deleted or closed-account records may remain briefly in backups, logs, or recovery systems.
  • Payment, tax, security, support, and dispute records may be kept longer where required or justified.
  • Users should export records they need for professional retention duties before deleting data or closing an account.

Your rights

Depending on your location and the context, you may have rights to access, correct, delete, restrict, object to processing, request portability, withdraw consent, and complain to a supervisory authority.

To exercise rights for your SnapCert account, contact support@snapcert.app. If your request relates to data held by an electrician or contractor using SnapCert, you may need to contact that electrician or contractor directly because they control that customer record.

In the UK, you can complain to the Information Commissioner's Office at ico.org.uk if you are unhappy with how personal information has been handled.

Cookies, analytics, and marketing

SnapCert websites may use essential storage for site functionality, security, and forms. We may also use analytics to understand product reliability and feature usage. Marketing emails include a way to unsubscribe where required.

Children

SnapCert is intended for professional users and is not directed at children.
